How to Calculate Time Duration: Formula, Examples and Time Duration Calculator

Time Duration Calculator

Knowing how long an activity lasts is useful in everyday life. You may need to calculate the duration of a work shift, meeting, journey, study session, workout, appointment, or project.

For simple times, the calculation is easy. But when the start and end times contain different minutes—or the activity continues past midnight—it can become confusing.

A Time Duration Calculator makes it easy to find the total elapsed time between a start time and an end time.

What Is Time Duration?

Time duration is the amount of time that passes between the beginning and end of an activity.

For example, suppose a meeting starts at:

10:00 AM

and ends at:

12:30 PM

The duration is:

2 hours 30 minutes

Time Duration Formula

The basic formula is:

Duration = End Time − Start Time

For example:

Start Time: 9:00 AM

End Time: 2:00 PM

Calculation:

2:00 PM − 9:00 AM = 5 hours

So the total duration is 5 hours.

Example 1 — Work Shift

Suppose you start work at 8:30 AM and finish at 5:00 PM.

From 8:30 AM to 12:00 PM:

3 hours 30 minutes

From 12:00 PM to 5:00 PM:

5 hours

Total duration:

8 hours 30 minutes

This example does not subtract any break time.

Example 2 — Study Session

Suppose you begin studying at 6:45 PM and finish at 9:20 PM.

From 6:45 PM to 9:00 PM:

2 hours 15 minutes

Then:

9:00 PM to 9:20 PM = 20 minutes

Total duration:

2 hours 35 minutes

Example 3 — Crossing Midnight

Suppose a journey begins at 10:30 PM and ends at 2:15 AM the following day.

From 10:30 PM to midnight:

1 hour 30 minutes

From midnight to 2:15 AM:

2 hours 15 minutes

Total duration:

3 hours 45 minutes

When the end time occurs after midnight, remember that it belongs to the following day.

Where Are Duration Calculations Useful?

Duration calculations can help with many everyday activities.

💼 Work shifts — calculate how long you were at work.

📚 Study sessions — track time spent studying.

🏃 Exercise — measure workout duration.

✈️ Travel — estimate how long a journey lasts when start and end times use the same time basis.

📅 Meetings and appointments — determine how much time an event takes.

🎯 Projects and tasks — track time spent completing activities.

Time Duration vs. Time Difference

These terms are closely related and are sometimes used interchangeably.

A time duration usually describes how long an activity or event lasts.

A time difference describes the amount of elapsed time between two specified times.

For example:

Movie starts: 7:00 PM
Movie ends: 9:30 PM

The difference between those times—and therefore the movie’s duration—is:

2 hours 30 minutes

For official information about time measurement and standards, see the NIST Time and Frequency Division.

Remember Break Times

If you’re calculating working or study time, you may also need to subtract breaks.

For example:

Total duration: 8 hours 30 minutes

Lunch break: 30 minutes

Actual working time:

8 hr 30 min − 30 min = 8 hours

Whether breaks should be included depends on what you are trying to measure.

Why Use a Time Duration Calculator?

Manual calculations can become difficult when minutes don’t match or the period crosses midnight.

A Time Duration Calculator can quickly show:

Start Time → End Time → Total Duration

This helps save time and reduces calculation mistakes.
